Inventory and Purchasing Management

Efficient inventory control is the key to your business’s profitability. NAOS lets you automate stock deductions with every sale and manage your restocking in a straightforward way.

Real-Time Stock Overview

In the Inventory module, you can view the current status of your products:

  • Current Stock: Available quantity on the sales floor or in the warehouse.
  • Average Cost: Automatically calculated based on your recorded purchases.
  • Inventory Value: The total value of your merchandise at cost price.

Recording Entries (Purchases)

When you receive merchandise from a supplier, you need to record it to increase your stock and update your costs:

  1. Go to Inventory > Purchases/Entries.
  2. Click “New Entry”.
  3. Select the Supplier (or create one on the spot).
  4. Add the products and quantities received.
  5. Enter the unit Purchase Price.
  6. Press Process Entry.

Manual Inventory Adjustments

Sometimes you need to correct stock outside of a sale or purchase (e.g., shrinkage, damage, or internal consumption):

  1. Select the product from the inventory list.
  2. Click “Adjust Stock”.
  3. Choose the reason for the adjustment:
    • Loss/Damage: Subtracts units from inventory.
    • Physical Count: Corrects stock to match what is actually on the shelves.
    • Internal Consumption: Subtracts units used for the business’s own operations.
  4. Enter the quantity and save the changes.

Minimum Stock Alerts

Avoid losing sales due to out-of-stock items by setting up alerts:

  • In each product’s details, define a Safety Minimum.
  • When stock falls below this level, the product will appear highlighted in Red on your admin dashboard.
  • You can export a “Low Stock Products” report to quickly generate your weekly purchasing list.

Supplier Management

Maintain a directory of your business partners:

  • Contact Information: Phone, email, and address for quick ordering.
  • Purchase History: Review how much you have bought from each supplier over the past year.
  • RUC/DV: Important for purchase invoice reconciliation.

Restaurant Inventory (Ingredients)

If you use NAOS in Restaurant mode, you can track your ingredients:

  • Recipes (Bill of Materials): Configure the system so that when you sell a “Burger,” it automatically deducts 1 Bun, 1 Patty, and 2 slices of Cheese from your ingredient inventory.
